Job Profile

  • I have been working in the hotel industry for the past 10+ years in the food & beverage department.
  • In my current position, specifically; I am responsible for performing the following tasks;
  • Types, takes dictation and minutes, drafts letters, files and traces all correspondence as required by the F&B Manager/Director.
  • Responsible for the typing, filing and up keeping of all private & confidential matters related to the department of F&B.
  • Accurately and promptly distributes all in-coming mails, memos and internal correspondence.
  • Provides a courteous, professional, efficient and flexible service at all times, following the set standards of performance and objectives set in the hotel’s mission statement.
  • Has a full working knowledge and capability to supervise, correct and demonstrate all duties and tasks required for the position.
  • Sets up and a systematic and efficient filling system, both for hard files as well as all electronic data, that enables quick retrieval. Ensure all files are kept up to date at all times.
  • Very proficient with all computer software used in the food & beverage office.
  • Courteously handles all in-coming telephone calls or inquiries.
  • Ensures that the place of work is kept cleaned and organized at all times.
  • Sets up an efficient network of communication within the department and with other departments.
  • Conducts a 6 monthly clean-up of filing to discard old files if necessary.
  • Ensures that all outgoing correspondences are typed on hotel stationery with copy to relevant files.
  • Organizes and prioritizes all incoming and outgoing mail, prioritized by urgency, following the hotel’s policies & procedures. Manage standard correspondence as assigned by the f & b manager.
  • Coordinates appointments and interviews.
  • Types and coordinates the printing of all restaurant menus for the outlet managers.
  • Prepares the relevant materials for all meetings attended by the food & beverage manager, daily operations meeting, daily food & beverage briefing, and executive committee meetings, food & beverage departmental meetings, sales & marketing meeting and ad hoc meetings.
  • Assists the food & beverage manager with the preparation and submission of all reports as required.
  • Coordinates travel arrangements, airline tickets, visas, hotel reservations as required for approved travel by employees of the food & beverage division, following the established policies & procedures.
  • Submits purchase requests for the food & beverage division for signature to the food & beverage manager and log and trace purchase requests for execution.
  • Fully understands and adheres to the confidentiality requirement for the position.
  • Attends and takes minute of the meetings as required.
  • Handles guest and employee inquiries in a courteous and efficient manner and report guest complaints or problems to supervisors if no immediate solution can be found and assure follow up with guests.
