  • Complete201 files of cars, vehicles, notarized Car loan, and service contract, inspection checklist before releasing the unit and or turned over unit of the not connected employee, repair monitoring sheets, yearly insurances, suppliers’ quotations receipts, and approved requests
  • Complete repair folder documentation of all repairs and preventive maintenance including the photocopies of receipts and approved quotations with comparative and a summary report
  • Ensure that all car duplicate keys are secured with proper label and storage
  • Monitoring and safekeeping of all company vehicles repair and preventive maintenance files, insurances, and registrations in coordination with employees, and maintenance
  • Check and verified employees submitted requirements before acquisition of car service/ car loan unit
  • For resigned employees, ensure that all accountabilities (repairs, maintenance, liquidations) on cars are checked
  • Comprehensive, CTPL, and LTO registration should be at the same month of renewal for easy processing per unit
  • Sales DES liquidations photocopy may initially be transmitted to accounting however required sales to send the original documents via courier
  • If an employee exceeded its allocated budget per year and as stipulated on the signed and notarized contract, advise the employee and or seek approval from top management if the reason for the additional expense is justifiable not to include on the exceeded funding
  • Police reports must be required to employees whenever committed an accident for filing such covered claims
  • Acts of nature may also be considered as required by the insurance
  • Process sales reimbursement as attachments to the repairs and maintenance requested payment
  • Close coordination with insurance company especially on claims, registrations, and renewal of vehicles
  • Emailing and sending of necessary documents to employee processing of their vehicles LTO registrations, claims, and insurances
  • Checking and verification of requirements before Issuance of cars/vehicles to the company-approved assignee
  • Before issuance of a car loan, HR must be advised to check the employment status of the employee whether direct or agency
  • Monitor janitress and gardener activity and assign tasks from time to time depending on the needs of internal requests and concerns
  • Received billings on utilities, consolidation, and verification before transmitting to the concerned department
  • Monitor permits and licenses on-time registrations
  • Assist External government agency inspectors/representatives with proper communication documents coordinated to the concerned department/person in the company
  • Coordination to maintenance for the building repairs/improvement/preventive maintenance
  • Keeping of records for pest controls, leased, memorandum of agreement for internal, ISO procedures and manual
  • Acts as liaison to all concerns related to office and plant equipment/facilities (telephone, internet, lights, water, etc.) in coordination with safety officer and maintenance department
