  • Main role is to help/assist the team with scheduling of activities/travel, transaction flow management, shipment/logistics, delivery planning and processing purchase orders, billing and invoicing, and communication link between department manager and engineers.
  • Acts as primary customer resource for calls and e-mails when team member is out of office.

  • Ensure/verify that all purchase orders details, terms and conditions are correct against our submitted proposal/quotation. Confirm and input orders including interacting with client and vendors to finalize orders. Access and verify bids/orders of some client from Ariba, SAP, SUS and other network/system.
  • Update and maintain database for clients such as company name, address, contact person/number, email address and other pertinent information.
  • Prepare/assemble proposals for selected products and submit pertinent documents/manuals.
  • Coordinate, organize, record, monitor, and report appointments/meetings of all department team members.
  • Provide comprehensive filing system and updated documents for department.
  • Arrange/schedule meeting, hotel & travel bookings, and request for travel allowance/budget, vehicle and other necessary tool/equipment specified by the department team member.
  • Prepares proposal and quotation to clients based on inquiries and requirements. Assist on bid preparations and submission for huge project bid tenders. Observe updated lists of tendered bids and submitted proposals and provides weekly update to ESG Manager / President / Chairman for won bids, lost bids and pending and un-awarded proposal.
