Primarily responsible in the Process Analysis
- Examines and evaluates work activities to develop new or improve standardized methods and procedures for the projects assigned.
- Prepare process manuals documenting new or revised policies and procedures; may assist in the preparation of job descriptions or specifications related to the process changes.
- Prepares requests for the IT Department for system upgrade, enhancements or correction related to recommended process improvements.
- Assists in conducting localized test runs for checking completeness and accuracy of revised systems/applications
- Assists other department members in research activities, which may involve interviews, surveys, on-site observation, review or records and documents, etc.
Training Management
- Prepares and updates training materials used for programs regularly conducted by the department.
- Maintains department’s Training Database, covering employee attendance, exam ratings, and evaluation results.
- Assists in the design and development of training programs intended to disseminate new policies, systems and procedures.
- Conducts training/orientation for the department’s regular programs (i.e. for newly hired/promoted personnel and refresher courses).
Process Improvement and Change Implementations
- Closely coordinates with concerned departments and external parties to ensure smooth implementation of new/revised processes.
- Gathers feedback, notes and endorses recommendations from process owners regarding process changes to further improve efficiency and reduce costs.
- Conducts follow-thru training/orientation as may be required for concerned personnel.
Correspondence and Helpdesk
- Handles inquiries from other departments regarding information on standard and new processes (i.e., systems, policies and procedures).
- Assists the IT Department in providing support and guidance to all users on systems/applications.
- Logs all requests received from other departments to ensure that all inquiries have been answered and that the necessary assistance has been extended.
- Centrally receives and records incoming correspondences (memos and mail) for the department.
Records Management
- Routes, monitors and secures the concurrence/approval signatures of concerned department heads and management on all business process manuals.
- Ensures the complete and prompt distribution of all approved manuals to all concerned based on the approved Distribution List.
- Ensures that all copyholders/custodians of the released process manuals have signed on the Distribution List to acknowledge receipt and accountability.
- Monitors and records in a database the turnover of manuals in case of personnel movements; signs off on the Clearance Form of an exiting employee to ensure that all manuals under his/her custody have been returned to the department or endorsed to a new custodian.
- Organizes and safe-keeps all original signed copies of process manuals, project folders and all other related documents.
- Conducts a periodic physical inventory of all manuals released to the respective custodians.
- Functions as the systems administrator for the electronic Business Process Manual (eBPM).
Other Administrative Duties & Responsibilities
- Documents and monitors usage of common property/equipment under the custody of the department.
- Coordinates with concerned departments regarding the repair and maintenance of the department’s equipment as necessary.
- Oversees the cleaning, housekeeping, and messenger activities for the department.
- Performs miscellaneous job-related duties as assigned.
